Instagram DM automation for gyms and fitness studios
Gyms and fitness studios can use Instagram DM automation to send a trial-class booking link to anyone who comments a keyword such as TRIAL on a class Reel, to answer timetable and membership questions sent by DM, and to collect an email in exchange for a free pass. It runs on Meta's official Instagram API, so it only replies to people who commented, replied to a story or messaged the studio first.
The front desk now lives in your Instagram DMs
Ask anyone who runs a studio where new members come from and Instagram is usually near the top. Someone sees a reformer class, a packed spin room or a coach demoing a kettlebell flow, and the questions start: "what time is the 6am class", "do you do a trial", "how much is a membership", "is there parking". None of these are hard to answer. All of them arrive at once, from strangers, in the same inbox where existing members are asking to freeze their membership.
The cost of a slow answer is specific to gyms. A person asking about a trial class is deciding this week, often between you and the studio around the corner. If the answer arrives the next afternoon, they have already booked somewhere that replied first. Unlike a coach selling a twelve-week program, a studio is not selling a long consideration; it is selling one first visit, and the first visit is won or lost on speed.
Most of these questions also have one correct answer that never changes from person to person. The trial link is the trial link. The timetable is the timetable. That makes a gym inbox unusually well suited to automation: you are not writing a personal reply, you are handing over the same link to the next person who asked for it.
Which keyword sends which link
The clean way to set this up is one keyword per question, each pointing at one page you already have. Comment keywords work on a post or Reel you choose; DM keywords answer anyone who messages the account with that word. The table is a starting point a typical studio can copy and adjust.
| Keyword | Where it fires | What the DM sends |
|---|---|---|
| TRIAL | Comment on a class Reel or post | The trial-class booking link on a button |
| PASS | Comment on a Reel promoting a free pass | An email request with consent text, then the free-pass link |
| SCHEDULE / TIMETABLE | An inbound DM containing the word | A link to this week's class timetable |
| PRICE / MEMBERSHIP | An inbound DM containing the word | Your membership options page and how to ask a person |
| Story reply | A reply or reaction to a class-drop story | The booking link for the new slots |
DMPilot sends the link; booking, payment and check-in stay in whichever gym software you already use.
Four automations for a gym or studio
Each automation is a trigger and a message you write. Keep the DM short and practical, the way your front desk would answer: what the class is, when it runs, and the one link they need.
Comment TRIAL to get the trial-class link
Post a Reel from a real class, ideally one beginners can picture themselves in, and put "comment TRIAL for a free intro class" in the caption and on screen. Everyone who comments the keyword gets the booking link in their DMs, and DMPilot posts a short public reply under each comment so others on the Reel can see the offer is live.
Example DM: "Here is the link to book your intro class. Pick any beginner-friendly slot this week, arrive ten minutes early and bring water; we have mats and towels. Any questions about which class to choose, just reply here."
- Match TRIAL anywhere in the comment, so "TRIAL pls" and "trial?" both count
- Label the button "Book my intro class" rather than a bare URL
- Turn on follow first if you want new followers out of each Reel: DMPilot asks for a follow before the link, and when Instagram can't confirm it, the link still goes out
Trade a free pass for an email
A free week or a free day pass is the classic gym offer, and it is the right moment to ask for an email, because you need a way to reach the person after the pass ends. Set a comment automation on a pass Reel with the keyword PASS, ask for an email inside the DM thread with your consent line, then send the pass link.
Example DM: "Your free pass is one email away. Drop your email below and I will send the pass straight after, plus a reminder the day before it expires so you can decide on a membership with no pressure."
- The consent text goes with the email request, so the person knows what they are signing up for
- Read the lead capture compliance guide before you write the consent line
Answer timetable and membership questions by keyword
Set DM keyword triggers for SCHEDULE, TIMETABLE, PRICE and MEMBERSHIP, each with one link. The timetable link should point at a page you keep current, not a screenshot, so the automated answer never goes stale when the schedule changes for the holidays.
For membership, link the options page and say plainly that a person will pick up anything else. Freezes, cancellations and injury questions are member conversations; the inbox in DMPilot shows every thread so you can answer those by hand.
Fill new class slots from a story
When you add a 6am HIIT session or open a waitlist class, post a story saying "reply SPOT for the booking link". Set a story-reply automation to that story, and a story-reaction one alongside it if you want emoji reactions answered too. Each person who replies gets the booking link while the story is still up.
Example DM: "New 6am HIIT slots are open from Monday, twelve spots per class. Here is the booking link. They usually go fast, so grab one now if you want it."
When someone asks and does not book
Plenty of people request the trial link and then get distracted. On Pro, DMPilot can send one reminder DM when the link is not tapped, and it cancels that reminder if they tap the link or send you a message. For a gym that is the difference between a lost lead and a booked intro class, and it happens once, not as a drip of nudges.
The automation also stays inside Instagram's rules for you: it sends one link DM per person, per automation, per day, it respects the one-private-reply-per-comment rule, and it works inside the 24-hour messaging window that opens when someone contacts you. That is also why the free-pass email matters: once the window closes, email is how you invite them back for a second class.
Count trial bookings, not likes
Every link in an automated DM is a tracked short link, so you can see clicks and click-through rate per automation. The dashboard adds people reached, DMs sent, link clicks and leads. For a studio, the useful comparison is between class Reels: which class, which coach and which hook sent people to the trial page.
Compare that with your booking system's own count of intro classes booked. If one Reel drove a high click-through rate but few bookings, the problem is the booking page or the class times, not the Reel.
- Link clicks per class Reel
- Emails captured from the free-pass offer
- Trial classes booked that week, from your booking software
- Members who joined after a trial, the number that pays the rent
What it will not do for a gym
DMPilot is not gym management software. It does not take bookings, process payments, check members in or sync with your class schedule; it sends links to the pages that do. It writes no replies with AI: every automated message is text you wrote. It does not connect WhatsApp or Facebook Messenger, and there is no visual flow builder.
Each subscription connects one Instagram account. A gym group with a separate account per location would need a subscription per account, because there are no multi-account workspaces. And like every compliant tool, it cannot message people who have not contacted you first, so there are no cold DMs to people who follow the gym down the road.
If that scope fits, start on the free plan (up to 100 people a month, no card); Pro is $9 a month or $81 a year, flat, and adds the email ask and the reminder DM. See pricing for the details.
Frequently asked questions
Can Instagram automation book people into classes?
Not directly. DMPilot sends your booking or trial-class link in the DM, and the booking itself happens in the gym software you already use. Tracked links show how many people clicked through.
What keyword should a gym use for a trial class?
A short word that matches the offer, such as TRIAL, INTRO or PASS. Avoid words like CLASS or GYM that people type in ordinary comments, because they will trigger the DM for people who were not asking.
Can it answer "how much is a membership" in DMs?
Yes. A DM keyword trigger on PRICE or MEMBERSHIP replies with the link you choose, such as your membership options page. Anything that needs a person, like a freeze or a cancellation, stays in the inbox for you to answer by hand.
Can I send a free pass only to people who give their email?
Yes. The automation can ask for an email inside the DM thread, with consent text, before it sends the pass link. That gives you a way to reach the person after the 24-hour messaging window closes.
We have three locations. Can one account run all of them?
One subscription connects one Instagram account. If each location has its own account, each needs its own subscription; if all locations share one account, one subscription covers it.
Is it safe for a gym's Instagram account?
It runs on Meta's official Instagram API through an approved tech provider and only replies to people who commented, replied to a story or messaged you. Tools that send cold DMs or drive the app are what put accounts at risk.
