Instagram DM automation for salons

Instagram DM automation lets a salon answer "how much?" and "any space this week?" between clients. When someone comments PRICE or BOOK on a before-and-after Reel, replies to a last-minute cancellation story, or DMs a word like "balayage", DMPilot replies within seconds with your price list or booking link as a button. It does not manage your calendar or take deposits: the link goes to the booking system you already use. DMPilot is free for up to 100 people a month with no card, then $9 a month flat.

Why do salon DMs pile up between clients?

A stylist with foils in someone's hair cannot answer "how much for balayage" in the moment, so the message waits until the break, and by then there are twelve more. Most of them ask the same things: prices, who does a particular service, whether there is anything this week, how to book. The before-and-after Reel that did well brings a wave of "how much for this" comments, and each one is a person with their card out. The delay is what loses them.

The awkward part is that the honest answer to "how much" is usually "it depends on length and what you are starting from", which is a conversation, not a number. An automated DM can send the price list and the consultation booking link, so the person gets a starting point in seconds, and the stylist picks up the thread when their hands are free. Automate the handoff, not the consultation.

Four automations that suit a salon

DMPilot has three triggers: a keyword comment on a post or Reel, a reply or reaction to a story, and a keyword in a DM. Each automation sends one message, with an optional link shown as a button. Below are the setups that fit a salon, with the DM written the way a front desk would say it. Change the names and prices to yours and keep the tone of your salon rather than that of a software company.

Comment PRICE on a before-and-after Reel: send the price list

Add "comment PRICE for our price list" to the caption and set a comment-to-DM automation on that Reel with the keyword PRICE, matched anywhere in the comment. DMPilot posts a short public reply under each comment ("Just sent it ✨") and sends: "Hi! That colour was a full balayage with a gloss, from £160 depending on length. Our full price list is below, and if you'd like an exact quote, book a free 15-minute consultation from the same page." Button: See prices. Because people also type "how much", add a second automation on the same Reel with that phrase as the keyword.

Comment BOOK: send the booking page

On a post announcing a new stylist, a new service or a quiet week, ask people to comment BOOK. The DM: "Lovely! Maya has openings for cuts and colour from next week. Pick a time that suits you below; the page shows live availability." Button: Book now. Keep availability in the booking page, not the DM, so the automation never promises a slot that has already gone.

A last-minute slot or offer on a story: reply to everyone who answers

When a client cancels, set a story-reply automation to the next story you post, so it locks to that one (add a story-reaction automation too if you want emoji reactions answered), then post: "Gap with Maya, Thursday 2pm, cut and blow-dry". Every reply gets: "Thanks for jumping on this. The Thursday 2pm slot is first come, first served through the link below. If it's gone, reply and we'll put you on the cancellation list." Button: Book the slot. The same works for an offer, such as 20% off a gloss midweek. Switch the automation off once the slot is filled or the offer ends.

DM keywords: "balayage", "prices" and stylist names

Set one keyword DM automation per word. "balayage": "Balayage is done by Jess and Maya. Jess is usually booked two to three weeks ahead; Maya has more weekday availability. You can see live availability for both below." "prices": "Here's our current price list. Prices are from, because length and thickness change the time it takes. Not sure which service you need? Reply with a photo of your hair and one of the team will get back to you between clients." That second one deliberately invites a human conversation rather than closing it.

How do you turn DM enquiries into a client list?

A salon's best marketing is telling existing and nearly-existing clients when there is a new stylist, a new service, or a quiet week with a discount. DMPilot can ask for an email inside the DM thread, with your consent line, before it sends the link, so a person who asked about balayage in March can hear about the colour promotion in June. Put the ask on the price-list automation, not the cancellation one, where speed is everything and an extra question just slows people down.

Tracked links do the rest. Every See prices and Book now button is a short link with a click count and click-through rate, so you know whether PRICE commenters actually open the prices, and whether the cancellation story gets the slot filled. DMPilot counts taps on its own links; the booking itself is counted in your booking software, and the two numbers together tell you where people drop off. See how to capture leads from Instagram for the consent wording.

What is worth measuring in a salon?

Salon owners rarely have time for dashboards, so keep it to a handful of numbers and look at them once a month. Click-through rates vary widely, so treat your own first month as the baseline and compare against that rather than against anyone else's figures. The point is to see which content brings in bookings, not to admire a chart.

  • Click-through rate on the price list from Reel comments. Low clicks with high comments means the DM text, not the Reel, needs work.
  • Cancellation-story replies versus slots filled. If replies are high and the slot still sits empty, the booking page is probably too many taps away.
  • Emails captured per month, and which automation they came from.
  • DMs that still needed a stylist to reply, and how fast that happened. This is the number clients feel.

What DMPilot does not do for a salon

DMPilot does not manage your calendar. It does not know that Jess is off on Friday, cannot book the Thursday 2pm slot, and cannot check availability; it sends the link to your booking system and the booking happens there. It does not take deposits or payments. It cannot message anyone who has not contacted you first, so it will not DM everyone who liked a Reel or everyone who follows a nearby salon. Instagram's rules require the client to make the first move.

There is no visual flow builder; each automation is one trigger and one message, with an optional button and an optional email request. No WhatsApp or Facebook Messenger. Every automated message is text you wrote, so it still sounds like your front desk. There are no multi-account workspaces, so a group with three salons sets up each account separately, and no product carousels, so retail products are a link rather than a swipeable card.

Is automating salon DMs allowed by Instagram?

Yes, as long as the tool uses Meta's official Instagram API through an approved tech provider, which DMPilot does. The rules that affect a salon most: one private reply per comment, sent within seven days; a 24-hour window after the client's last message; and no promotional sends to people whose window has closed, so "we have space this week" cannot go out to everyone who ever asked a price. DMPilot sends one link DM per person, per automation, per day, and backs off and retries when Instagram rate-limits a send. Read the rules before you start.

DMPilot is free for up to 100 people a month, then $9 a month or $81 a year, flat, however many clients message you. Start free with no card and put PRICE on your next before-and-after Reel. More recipes for local businesses are in DMPilot for small business.

Frequently asked questions

Can I auto-reply to "how much for this" comments on my hair Reels?

Yes. Set a comment-to-DM automation with the keyword PRICE, and a second one with the phrase "how much", on the Reel. Each commenter gets one private DM with your price list and booking link, and a short public reply under their comment.

Can clients comment BOOK to get my booking link?

Yes. A comment-to-DM automation with the keyword BOOK sends your booking page as a button in the DM. The appointment is then made in your booking system.

Can DMPilot book appointments for my salon?

No. It sends your booking link with a button inside the DM. The appointment is made in your booking system, and DMPilot does not see or manage your calendar.

Can I DM everyone who replies to a last-minute cancellation story?

Yes. A story-reply automation sends each person who replies or reacts one message with the booking link, within Instagram's 24-hour messaging window.

Can it tell people which stylist does balayage?

Yes. A keyword DM automation on "balayage" sends the reply you wrote, naming the stylists and linking to their availability.

Can I message past clients who have not DMed me?

Only if they contacted you within Instagram's messaging window. DMPilot cannot start a conversation with someone who has not commented, replied to a story or DMed you.

How much does Instagram DM automation cost for a salon?

DMPilot has a free plan for up to 100 people a month with no card. Pro is $9 a month or $81 a year, flat, and the price does not change with how many clients message you.
